Flat Rate Book Usage & Updates

Purpose

How service technicians use and navigate the flat rate pricing book in ServiceTitan to build accurate, consistent estimates on-site.

When to Use

Every time you need to quote pricing to a customer during a service call.

Procedure

Accessing the Flat Rate Book

  • Open ServiceTitan on your tablet → navigate to the active job → Estimates.
  • The flat rate book is organized by job category (water heaters, drains, fixtures, gas, etc.).
  • Search by keyword or browse by category to find the correct task/item.
  • Each entry includes: description, flat rate price, estimated labor time, and materials.
  • Building an Estimate from the Book

  • Select the appropriate line items for the job.
  • Add all components: primary task, required materials, permits (if applicable), disposal, tax.
  • Build Good/Better/Best options using different product tiers from the book.
  • Review the total before presenting — does it make sense for this job?
  • If the book doesn't have an exact match, use the closest comparable item and adjust. Note any adjustments.
  • When the Book Doesn't Cover It

  • Custom or unusual jobs may not have a flat rate entry.
  • Do NOT make up a price. Call your manager or a lead tech for guidance.
  • If you need a custom quote, document the scope and get approval before presenting to the customer.
  • After the job, flag the missing item for the office team to add to the pricing book.
  • Pricing Updates

    • The flat rate book is updated periodically to reflect material cost changes and market adjustments.
    • When updates are released, you'll receive notification via Slack.
    • Always ensure your ServiceTitan app is synced to the latest version.
    • If you notice a price that seems wrong (too high or too low), report it to the office — don't override.

    Important Notes

    • Flat rate pricing ensures consistency — every customer gets the same fair price regardless of which tech visits.
    • Never discount without manager approval (see Price Adjustments & Manager Approval).
    • The flat rate includes labor — don't add additional labor charges on top.
    • If a customer questions the price, explain the value: "This price covers everything — the part, the labor, and our warranty."
