Facility Maintenance & Office Upkeep

Purpose

Standards for maintaining the Spartan office, shop, and warehouse facilities in a clean, safe, and professional condition.

When to Use

Ongoing — daily, weekly, and monthly maintenance tasks for the facility.

Procedure

Daily Tasks

  • Common areas (break room, restrooms, lobby) are cleaned and stocked.
  • Shop/warehouse walkthrough — no trip hazards, tools stored properly, aisles clear.
  • Trash emptied from all areas.
  • Front entrance and customer-facing areas are presentable.
  • HVAC system operating (report issues immediately — we're a plumbing company, the office needs to work).
  • Weekly Tasks

  • Deep clean of break room and restrooms.
  • Inventory of office supplies — restock as needed.
  • Shop organization — tools returned to proper locations, materials organized.
  • Check fire extinguishers and first aid kit — report expired or missing items.
  • Parking lot inspection — debris, potholes, signage.
  • Monthly Tasks

  • Full facility walkthrough by office manager — document any issues.
  • HVAC filter check (replace or schedule service if needed).
  • Pest control (if contracted, verify service was performed).
  • Review security camera system — all cameras operational.
  • Safety equipment inspection (eye wash, first aid, fire extinguishers).
  • Reporting Issues

  • Any facility issue should be reported to the office manager immediately.
  • For safety hazards (water leak, electrical issue, structural concern), address immediately.
  • For maintenance items, add to the facility maintenance log.
  • Contract work (HVAC, electrical, cleaning services) is coordinated by the office manager.
  • Important Notes

    • The office and shop are Spartan's home base. A clean, organized facility reflects professionalism.
    • Safety hazards in the facility are treated with the same urgency as job-site hazards.
    • If a customer visits the office, it should look professional and welcoming.
    • Shared spaces are everyone's responsibility, not just the office team's.
