Material Ordering via ServiceTitan

Purpose

How install teams use ServiceTitan to request and track materials needed for upcoming jobs.

When to Use

When preparing for scheduled install jobs that require specific materials not on the truck.

Procedure

Pre-Job Material Review

  • Review the approved estimate in ServiceTitan to identify all required materials.
  • Check truck stock against the material list — what do you have, what do you need?
  • For materials not in stock, submit a request to the office via ServiceTitan or Slack.
  • Ordering Process

  • Office receives the material request and checks shop inventory.
  • If in stock: Pull from inventory and stage for the crew.
  • If not in stock: Create a PO in Tradeshift and order from the appropriate vendor.
  • Track delivery date and confirm it arrives before the job starts.
  • If materials arrive late, notify dispatch and the customer about schedule impact.
  • On-the-Job Material Needs

  • If unexpected material needs arise during the job (scope change, unexpected condition), notify the office immediately.
  • For urgent needs: tech can pick up from the local supply house with manager approval.
  • Document the additional materials on the job record for billing accuracy.
  • Update the estimate/invoice with any additional materials before collecting final payment.
  • Material Returns

  • If ordered materials are not used (job scope changed), return to shop inventory.
  • If materials are defective, process a return through Tradeshift with the vendor.
  • Don't leave unused materials on the customer's property or in your truck.
  • Important Notes

    • Order ahead. Emergency material runs waste time and may cost more.
    • Verify part numbers and specs carefully — wrong materials delay jobs.
    • Material costs are tracked per job. Accurate logging supports job costing and pricing analysis.
    • Excess ordering wastes money. Order what you need, not "just in case" inventory.
