Background Check & Drug Screening

Purpose

Defines Spartan's pre-employment background check and drug screening requirements — what is checked, who is screened, and what results disqualify a candidate. ## Who This Applies To

All new hires. No exceptions. ## Background Check Process

1. Offer is made and accepted (contingent on passing background check). 2. the Operations Manager or hiring manager sends the candidate the background check consent form. 3. Background check initiated through Spartan's screening provider (Josh/the Operations Manager confirms current vendor). 4. Results reviewed by Josh — he makes the final determination. 5. Target turnaround: 3-5 business days. Do not schedule a start date before results are received. ## What Is Checked

- Criminal history (7-year lookback standard; some offenses may go further)

- Motor Vehicle Record (MVR) — required for all employees who will drive a company vehicle

- Employment verification (optional; Josh's discretion)

- License verification (for licensed plumbers)

## MVR Standards for Driving Employees

All service and install techs drive company vehicles — the MVR must be reviewed. Disqualifying MVR findings:

- DUI/DWI within the past 5 years

- More than 2 at-fault accidents in the past 3 years

- Suspended or revoked license (active)

- Commercial driver license violations (if applicable)

Note: The commercial auto insurance carrier may have additional requirements. Check with the insurer before final clearance on any MVR with violations. ## Drug Screening

- Pre-employment drug screen required for all new hires. - Spartan's current policy on substances (Whale): "Spartan Plumbing is concerned about the use of these substances, whether on or off the job, if it adversely affects an employee's work performance, efficiency, safety, or health. "

- All field staff are required to drug test pre-employment. - Panel: minimum 5-panel (THC, cocaine, opiates, amphetamines, PCP); Josh may require a wider panel. - Results reviewed by the Operations Manager. Positive results are shared with Josh only. ## Results That May Disqualify

- Any felony conviction within the past 7 years (Josh reviews case-by-case)

- Drug-related conviction

- Positive drug screen

- Suspended/revoked driver's license (for driving roles)

- Pattern of offenses even if individually minor

Important: Do not make a blanket disqualification decision without reviewing the specific offense and its relevance to the role. Ohio has fair chance hiring guidelines — consult the employment attorney if uncertain about a specific background result. ## Important Notes

- Do not start a new employee before background check results are received — there are no exceptions. - Insurance carrier may conduct their own MVR check — Spartan's check does not override this requirement. - All background check and drug screen records are kept confidential in Paylocity. ## Related SOPs
