Purpose
Step-by-step process for creating estimates in ServiceTitan as a service technician, including the approval workflow for larger jobs.
When to Use
Every time you need to present pricing options to a customer on a service call.
Procedure
Creating the Estimate
From the active job, tap Estimates → New Estimate.
Select the estimate template that matches the job type (if available).
Add line items from the flat rate pricing book — search by keyword or browse categories.
Build options: Create separate options for Good, Better, and Best tiers.
Each option should include: all parts/materials, labor (built into flat rate), permits, disposal, and applicable taxes.
Attach diagnostic photos to the estimate.
Preview the customer-facing view to make sure it looks clean and professional.Approval Workflow
Under $5,000: Present directly. No additional approval needed.
$5,000 - $15,000: Slack or call your manager for verbal approval before presenting.
Over $15,000: Hold presentation. Contact Josh or designated manager for approval.
Custom/non-standard: Manager approval regardless of amount.
Log all approvals in the job notes: "Estimate approved by [name] at [time]."Presenting to the Customer
Show the estimate on your tablet. Walk through each option.
Start with the Best option, work down to Good.
Explain what each option includes and why you recommend the Better option.
Answer questions directly.
If customer approves, get electronic signature on the chosen option.After the Estimate
If approved: Begin work (if same-day), or coordinate scheduling with dispatch.
If declined: Ensure the estimate is emailed to the customer through ServiceTitan.
If "thinking about it": Log the status and set a follow-up task.
All estimates stay in ServiceTitan regardless of outcome.Important Notes
- Never present verbal-only pricing. Everything goes through ServiceTitan.
- Double-check your math before presenting.
- Estimates are valid for 30 days — note this to the customer.
- If unsure about pricing, ask before presenting, not after.
