Pricing Update Process

Purpose

Defines how pricing updates are made to the flat rate book and communicated to the team.

When to Use

When material costs change, when market adjustments are needed, or during scheduled quarterly pricing reviews.

Procedure

Triggers for Pricing Updates

  • Material cost changes: Supplier price increases or decreases on commonly used parts and equipment.
  • Quarterly review: Scheduled review of all pricing against current costs and margins.
  • New products/services: When Spartan adds a new offering that needs pricing.
  • Competitive analysis: When market pricing shifts require adjustment.
  • Tech/sales feedback: When field reports consistently indicate prices are too high or too low for specific items.
  • Update Process

  • Analysis: Office/management reviews the items needing updates — current cost, current price, target margin, market comparison.
  • Approval: Josh approves all pricing changes before they go live.
  • Update in ServiceTitan: Office team updates the flat rate book items in ServiceTitan.
  • Communication: Notification sent to all techs and sales reps via Slack with a summary of what changed.
  • Effective date: All updates go live on a specific date. Outstanding estimates created before the update are honored at the original price.
  • Communication Format

    Pricing update announcements include:

    • Date effective
    • Items changed (description and new price)
    • Reason for change (material cost, market adjustment, etc.)
    • Any impact on existing estimates

    Handling Transition

    • Estimates created before a pricing update are honored at the old price for 30 days.
    • After 30 days, the customer is informed that a new estimate may reflect current pricing.
    • If a customer references an old price, check the estimate date and honor it if within 30 days.

    Important Notes

    • Only authorized personnel update pricing in ServiceTitan — techs and sales reps do not make pricing changes.
    • If you believe a price is wrong, report it; don't work around it.
    • Pricing updates affect margins for the whole company. They're made carefully and deliberately.
    • Historical pricing data is preserved in ServiceTitan for reporting.
