Proposal Template Usage

Purpose

How to use ServiceTitan's estimate templates to create consistent, professional proposals efficiently.

When to Use

Every time you build an estimate in ServiceTitan — templates are the starting point for all proposals.

Procedure

Available Templates

ServiceTitan estimate templates are pre-built for common job types:

  • Water heater replacement (tank and tankless)
  • Drain service
  • Sewer repair/replacement
  • Repiping (partial and whole-house)
  • Fixture installation
  • Water treatment installation
  • General repair

Using a Template

  • From the job, navigate to Estimates → New Estimate.
  • Select the template that best matches the job type.
  • The template pre-populates with standard line items, descriptions, and pricing.
  • Customize for the specific job:
  • - Adjust quantities and sizes to match the customer's needs.

    - Add or remove line items as appropriate.

    - Update descriptions to include job-specific details.

  • Build Good/Better/Best options by duplicating the template option and adjusting the product tier and scope for each.
  • Review the customer-facing preview before presenting.
  • Template Maintenance

    • Templates are managed by the office team and updated when pricing or product lines change.
    • If you find a template that's out of date or missing items, report it via Slack.
    • Don't create personal "workaround" templates — request updates to the official ones.
    • New templates are built when a new service offering is added.

    Customizing Without Breaking

    • You can add/remove line items from a template-based estimate without affecting the template itself.
    • Always keep the customer-facing descriptions professional and outcome-focused.
    • Don't delete required items (permits, disposal) to lower the price — these are part of the scope.

    Important Notes

    • Templates save time and ensure consistency. Use them as the starting point for every estimate.
    • If no template exists for a job type, build the estimate manually and flag the gap.
    • Templates are designed to include everything — using them reduces the risk of forgetting line items.
