Notice to Proceed (NTP) Process

Purpose

Define the Notice to Proceed (NTP) process — the formal step between sale approval and installation scheduling.

When to Use

  • After a customer has signed an estimate for installation work
  • Before scheduling the install crew
  • Addresses a process that was previously undocumented

Procedure

Sales to Install Handoff

  • Sales rep completes the Sales to Install form using the /salestoinstall Slack command
  • Form includes: customer info, scope of work, materials needed, access details, special requirements
  • Sales rep confirms financing is approved (if applicable) or deposit is collected
  • Sales rep confirms customer authorization is signed in ServiceTitan
  • Office Review

  • Office reviews the Sales to Install form for completeness
  • Verify material availability — order through Tradeshift if needed
  • Verify permit requirements — submit permit application if required
  • Confirm payment terms: deposit collected or financing approved
  • Notice to Proceed

  • Once all requirements are met (authorization, payment/financing, materials ordered, permit submitted), the job receives NTP status
  • NTP is the green light to schedule the installation
  • Without NTP, the job should NOT be scheduled on the dispatch board
  • NTP status is updated in ServiceTitan
  • Scheduling

  • After NTP, dispatch schedules the install based on crew availability, material delivery, and permit timing
  • Customer is contacted with the scheduled date and time
  • Confirm customer availability for the scheduled date
  • Pre-job call to customer 24-48 hours before installation
  • Requirements Before NTP

  • Customer authorization signed in ServiceTitan
  • Deposit collected (40%) or financing approved
  • Materials ordered and delivery confirmed
  • Permit application submitted (if required)
  • Sales to Install form complete with all details
  • Important Notes

    • This process prevents scheduling jobs that are not ready — which wastes crew time and frustrates customers
    • The Sales to Install form is the single source of truth for what was sold and what needs to be installed
    • If any requirement is not met, the job stays in a hold status until resolved
    • Rushing to schedule without NTP leads to missing materials, unpulled permits, and customer issues
